Overview

Perform phlebotomy and IV placement, clerical work and physician assistance

Clerical Duties

  • Answer phones and transfer to the appropriate staff member
  • Take and distribute messages
  • Greet public and clients and direct them to the correct staff member
  • Coordinate appointments, schedule, and EMR tasks
  • Take care of referrals, preauthorization and records
  • Faxing, scanning and copying of documents
  • Maintain office filing and storage systems
  • Respect patients by recognizing their rights; maintain confidentiality
  • Maintain quality service by establishing and enforcing organization standards
  • Maintain patient care database by entering new information as it becomes available; verify findings and reports; back up data
  • Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, benchmarking state-of-the-art practices and participating in professional societies
  • Contribute to team effort by accomplishing related results as needed
  • Retrieve information when requested
  • Type documents, reports and correspondence
  • Organize travel arrangements for staff
  • Coordinate and organize appointments and meetings
  • Assist with event planning and marketing
  • Monitor and maintain office supplies
  • Ensure office equipment is properly maintained and serviced
  • Perform work-related errands as requested such as going to the post office and bank
  • Keep office area clean and tidy
  • Ability to handle protected health information (PHI) in a manner consistent with the Health Insurance Portability and Accountability Act of 1996 (HIPAA)

Clinical Job Description

  • Verify patient by reading patient identification
  • Obtain blood specimens by performing venipuncture and finger stick
  • Maintain specimen integrity by using an aseptic technique, following practice procedures and observing isolation procedures
  • Maintain quality results by following practice procedures and testing schedule; identifying and reporting needed changes
  • Maintain a safe, secure and healthy work environment by following standards and procedures; complying with legal regulations
  • Update job knowledge by participating in educational opportunities, reading professional publications; maintaining personal networks and participating in professional organizations
  • Enhance practice reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments
  • Greeting patients, patient check-in/out
  • Keep exam rooms and Infusion room clean and follow OSHA/HIPPA compliance
  • Take and record various readings such as heart and respiratory rate, blood pressure, weight, body temperature, mental status, etc.
  • Account for medical supply stock
  • IV placement for iron infusion, hydrations, chemo and other treatments (including premeds)
  • Provide physician assistance
    • Assist physician as needed
    • Ensure all medical notes and/or records are available to the physician including imaging studies, pathology reports, operative reports and clinic notes from referring physicians
  •  Information gathering – obtain patient’s:
    • Past medical history
    • Past surgical history
    • Family history
    • Social history
    • Allergy list with reactions
    • Laboratory results
    • Mental status
    • Vital signs
  • Patient education
    • Provide educational information to patients, family, etc., pertaining to the administration of chemotherapy
    • Answer inquiries (ex: medical prescription refill) or/and provide advice as needed
  • Patient follow-up
    • Contact patients in follow-up after their treatments to be sure they are not having adverse reactions
    • Answer routine questions from patients and family
    • Obtain referrals
    • Assist physicians
    • Help take clinically oriented phone calls from patients
  • Supply maintenance
    • Account for medical supply stocks to maintain timely delivery of chemotherapy and provide other infusion services
    • Report to Practice Manager the need for replenishment of chemotherapy supplies

HIPAA Responsibilities

The Medical Assistant will have access to PHI during the course of his/her work activities. The PCC will use this information to prepare both patients and medical records for visits with the provider and to keep the flow of work going smoothly in the clinic. Applying the minimum necessary standard of HIPAA, the designated records sets to which this employee will have access include the full medical record and the IMS Practice Management system.

Required Credentials

Certifications/Licenses: State of NC Registered Phlebotomy Certification and (or) Medical Assistant certification and or degree
